As the face of our business, you'll play a key role in creating a professional, welcoming, and efficient workplace environment. 

The role includes receptionist duties, general office administration, facilities support and workplace management. 

We are looking for someone who is proactive, enthusiastic and committed to creating a structured and friendly atmosphere.

What you'll do

Reception and visitor management

  • Welcome visitors, clients, suppliers, and contractors, ensuring a positive first impression.
  • Manage visitor sign-in procedures and maintain accurate visitor records.
  • Notify colleagues of visitor arrivals, escort guests to waiting areas and offer refreshments where appropriate.
  • Prepare and administer staff access cards and maintain associated records.
  • Keep reception areas tidy, professional and welcoming.

Office administration

  • Coordinate meeting room bookings and maintain booking schedules.
  • Arrange catering and refreshments for meetings and events.
  • Produce and distribute the CEO's weekly itinerary, ensuring information is up to date and accurate.
  • Support document preparation, including printing, laminating and general administrative tasks.
  • Assist with onboarding activities, including preparing new starter packs and maintaining onboarding records.

Mail, deliveries and facilities support

  • Receive, sort, and distribute incoming mail and deliveries.
  • Prepare outgoing mail and deliver it to the post office when required.
  • Manage stationery supplies, place orders, and maintain stock records.
  • Maintain inventories of IT equipment and PPE, issuing replacement items where needed.
  • Support health and safety activities, including assisting with fire alarm testing.
  • Manage petty cash records and complete monthly reconciliations.

You'll also be responsible for preparing and replenishing refreshments for meetings and in our kitchen areas, keeping communal areas well stocked and presentable. 

There will also be times when you will be required to drive the company van to support business operations, including the transportation of staff, equipment, documents, supplies, and other business-related items.

What you'll need

Previous experience in a receptionist, office administrator or office support role is essential.

This experience, partnered with a professional and approachable attitude and excellent communication skills, would allow you to excel in this role. 

You'll also need:

  • strong organisational and time management skills, with the ability to prioritise tasks independently
  • good knowledge of the Microsoft Office suite
  • good attention to detail
  • a full UK driving licence. 

It would also be beneficial for you to have:

  • experience within facilities management
  • knowledge of office health and safety procedures
  • a strong customer service focus.
