We're looking for a highly organised and detail-focused Key Document Coordinator to support the Key Document Lead and wider AIM team in managing and improving our Site Key Documents platform.

This is an exciting opportunity to be involved in the documentation process, while building a strong working relationship and supporting how the business organises and maintains access to information.

What you'll do 

Working with the Key Document Lead, you'll play a vital role in ensuring our key documents are maintained to a high standard and remain useful to teams across YTL UK.

Your responsibilities will include:

  • supporting the day‑to‑day management of the Site Key Documents SharePoint platform, including permissions, access, and data quality
  • helping integrate new document sets by investigating existing materials, supporting document owners, and ensuring processes are followed
  • assisting with the Scheme Takeover process to ensure new project documentation is captured, validated, and stored correctly
  • monitoring expiring or expired documents using reporting tools and supporting document owners to update them
  • liaising with IT to help import documents and explore opportunities for improving systems and processes
  • providing guidance to colleagues across the business on navigating Site Key Documents and applying best practice
  • supporting the Key Documents Lead in preparing updates, reporting changes, and coordinating Working Group activities.

What you'll need

To succeed in this role, you'll bring:

  • confidence using Microsoft Office, including Excel, PowerPoint, Visio, and SharePoint
  • strong communication skills and the ability to work well with different teams across the organisation
  • excellent attention to detail and the ability to manage multiple tasks at once
  • the ability to work independently and collaboratively
  • a proactive approach to identifying improvements and supporting the adoption of good documentation practices.
